Volunteer Treasurer Position - Thorrington Scout Camp


Position: Volunteer Treasurer

Location: Thorrington Scout Camp, Essex

Type: Voluntary, Part-Time

About Thorrington Scout Camp: Thorrington Scout Camp is a cherished facility that offers a wide range of outdoor activities and camping experiences for Scouts and community groups. We are seeking a dedicated and organized individual to join our team as a Volunteer Treasurer. This role is crucial for the smooth financial operation of our camp, ensuring we continue to provide a valuable service to our community.


Key Responsibilities:

Daily Tasks:

  • Access and manage the online banking system.

  • Update Online Scout Manager (OSM) with received funds.

  • Record all received monies in the bookkeeping system (currently using Quicken).

  • Arrange and record payments for invoices and expenses via online banking.


Weekly/Fortnightly Tasks:

  • Collect analysis sheets and funds from the onsite safe.

  • Verify the warden’s analysis sheets and count monies to be banked.

  • Prepare and record bank paying-in slips.

  • Deposit all receipts at NatWest.

  • Monitor and chase any outstanding fees on OSM.


Monthly Tasks:

  • Prepare a financial report for Committee meetings.

  • Attend monthly meetings and provide advice on expenditures.


Annual Tasks:

  • January: Prepare the annual budget for the February meeting and variance reports throughout the year.

  • March: Review and agree on annual insurance documentation.

  • April: Prepare the annual income and expenditure report for external examination and AGM presentation.

  • September: Collect data for the annual fee review and present proposed fees for the upcoming financial year.


Various Tasks:

  • Negotiate and agree contracts for utility services (Electricity, Gas, Water, Sewerage, Telecoms, Cleaning).


Ad Hoc Tasks:

  • Replenish shop stock as needed.

  • Provide advice on fee queries.


Ideal Candidate:

  • Experience in bookkeeping and financial management.

  • Familiarity with online banking systems and bookkeeping software (experience with Quicken is a plus).

  • Strong organizational skills and attention to detail.

  • Ability to attend monthly committee meetings and annual events as needed.

  • Good communication skills and ability to work collaboratively with committee members and volunteers.

  • Passion for supporting Scouting and the local community.
